A corporate finance firm in Birmingham is hiring a Part-Time PA / Office Manager to be the first point of contact for the office and to provide professional PA support to senior management (Portfolio Manager and Head of M&A). The role is varied and hands-on, ideal for someone who enjoys ownership, pace, and precision.
Key responsibilities
PA support (senior management)
- Manage multiple email inboxes (prioritize, respond, and escalate).
- Schedule meetings and manage diaries across multiple stakeholders.
- Create agendas, capture actions, and follow up to keep things moving.
- Set reminders and maintain accurate calendars.
- Assist with expenses preparation and processing.
- Arrange travel and bookings (flights/trains/hotels/taxis/meals/events) using the approved process and travel provider where required.
- Track approvals and maintain invoices/records.
- Support team social events and occasional wider group events.
- Obtain quotes and raise purchase orders for office supplies, equipment, and consumables.
- Coordinate building maintenance, cleaning, and supplier visits.
- Liaise with the property management company to resolve facilities issues quickly.
- Coordinate compliance-related training (first aid, fire warden, MHFA) as required.
- Support onboarding admin, including coordinating IT equipment and liaising with HR.
Applicants must have:
- Experience in in a small role in a PA or Office management environment supporting a leadership team
- Strong communication skills and confidence dealing with senior stakeholders
- Confident using Microsoft Office and Office 365 tools (Outlook, Word, PowerPoint, Excel, Teams).
