My client is a boutique finance house looking to recruit an Office Manager/Co-ordinator to be the key focus and heart of the office. The role will entail working with a PA to ensure the smooth running of the office. This role will involve a variety of tasks so ideal for anyone who enjoys diversity in their role. It is also an ideal opportunity to put your stamp on a role and make it your own. The role is split between general support, marketing and projects.

 

General Support

·         Reviewing meeting room diaries every day and managing any issues

·         Setting up meeting rooms and meeting and greeting clients and booking travel

·         Answering the phone, dealing with queries and passing on message

·         Timesheets - reminding people to do their timesheets, producing weekly report & billing reports

·         Monitoring other inboxes, info, recruitment, news etc

·         Maintaining business continuity plan - lists of staff addresses & suppliers

·         Office facilities - liaise with cleaning company to maintain service & supplies

·         Maintaining company database

·         General finance administration including creating purchase orders, receipting invoices and sending to accounts and Compliance administration

 

Marketing & PR

·         Producing PowerPoint presentations for initial meetings or pitches, printing & binding 

·         Organising networking breakfasts, team on team events as well as hoc team events / dinners - team briefings / sporting events / Christmas events / Dealmakers 

·         Assisting the Business development manager

·         Coordinating post-deal marketing, such as case studies, credentials, Mailchimp deal alerts and press releases and updating the website

·         Marketing collateral – liaison with digital agency to design and co-ordinate

 

Ad hoc projects

 

·         Support on internal projects e.g. marketing, GDPR audit, office re-modelling, recruitment and training of team assistant

 

Applicants will have previous experience of the above ideally in a corporate or professional services environment. You will be able to demonstrate a good breadth of experience across a range of areas.
