My client based in North Birmingham are an established and highly successful Business looking to recruit a PA & Office Manager for a newly created role. This role will essentially support the Managing Director but also entail taking responsibility for the administration and operational running of the office. The role is ideal for anyone who enjoys a broad role where they can get involved in all areas of the business.

The role will provide general PA support to the Managing Director which will involve diary management, client contract, travel, and organising site meetings. This role will be the ears and ears of the office but also a gatekeeper to the Managing Director. The other part of the role will be office management. This will include compliance, health and safety, putting policies and procedures into place, and updating internal handbooks. The role requires someone who loves rolling their sleeves up and getting stuck in but also enjoys the energy and personality of a vibrant environment. There will also be some involvement in internal projects. The role will include:

  • Acting as the first point of contact with internal and external stakeholders and manage contacts, deal with enquiries and queries, liaise as appropriate with all external and professional bodies (acting as the gatekeeper)
  • Working to understand company objectives and identify specifically how the role can contribute to the achievement of these
  • Diary management and workload management, including the creation of processes as appropriate to improve smooth running of the MD’s diary
  • Proactive time management to ensure effective use of MD’s time, including arranging internal and external meetings and organising travel arrangements where necessary
  • Reviewing and responding to actions placed upon the MD, ensuring that actions are completed and followed up
  • Scheduling and attending meetings for the Executive Board, taking minutes, as necessary
  • Compiling and distributing Executive Board reports
  • Assisting with communications on behalf of the MD, including coordinating and actioning internal and external correspondence using appropriate channels
  • Potential process improvement to ensure the smooth running of the MD’s diary
  • Planning and coordinating leadership events, team offsites/away days including workshops
  • Share best practice and provide support and cover to other Administrators within the Company


Applicants must have previous Office Management and PA experience at the Director level. Experience in managing office procedures and systems is also key. Experience in a similar environment would be desirable.
