Team Secretary/PA to Director for Business Services Company (Maternity Cover) (ID:4403)
We are currently recruiting for a fantastic team
secretary/PA with project support responsibilities to provide maternity cover
for a Business Services company based in South Birmingham. This is a varied
role for a hardworking, friendly team, involving PA duties for the Senior
Director of Major Projects and his team, as well as the Senior Director of
Finance and his team; as well as assisting with project admin, marketing
support, and supporting the team with any other tasks as required. This is a great
opportunity for someone who is looking to advance their career with a varied
and exciting role in South Birmingham, starting around the middle of May.
Duties will include:
Being the first point of contact for both internal and external
stakeholders, making decisions on the appropriate action or response
Providing comprehensive and confidential administrative and
secretarial support to directors and team as required
Coordinating travel and meeting arrangements, including booking
and arranging travel, transport and accommodation & coordinating meetings
and preparing documentation as required
Taking full responsibility for diary management, effectively
maximising the directors’ and team’s time and resources, and communicating arrangements
to all necessary parties
Liaising with PAs and secretaries across the company, ensuring
smooth ongoing communication
Extensive email correspondence, reallocating or responding
to enquiries as required
Taking minutes in
monthly and bi-monthly meetings
Marketing support for long term company projects and overall
marketing strategy, working with PR agency to generate a strategy and act on it
Updating and maintaining the company website
Assist with finance process for projects, keeping track of raised
orders and ensuring they are in line with the budget. Raising purchase orders,
manual payments and invoices as required
The ideal candidate
for this role will have prior administrative experience, and be confident liaising
with board level internal and external stakeholders, maintaining a professional
service and friendly demeanour. You will have a high degree of discretion,
integrity and confidentiality while effectively prioritising your workload to
ensure everything runs smoothly. Somebody with a can-do attitude and a willingness
to take on a variety of tasks as required will be a great fit for this role,
and strong computer literacy is required. If this

This is a full-time, 12 month contract (maternity cover), based in
their South Birmingham office, and is paying £28k annually.
